If you're like most agents I've worked with, you find it virtually impossible, to make the time to institute the technology changes you want.  In this 2 day program – Probably most of what you have been wanting to accomplish, and maybe more, will be DONE!

PLEASE UNDERSTAND - I am not going to just TEACH you how to do the following.  When I leave, all this will be DONE!  And when I leave - you will have easy to follow documentation of how to proceed with each step in your new system! I have created over 20 color pages with “Screen Shots” from Online Agent, that use arrows and text boxes to show you how to use, and fill in, all the most important fields in Online Agent. You will receive a copy of everything listed here. And with this package, when you have questions about what we covered – you can call me for free, for one year!

In ONLY 2 Days:

Online Agent

1) Format all letters to fit your stationary
2) Some of my letters are 2 pages. You need to know that before you print, so you can put in a blank 2nd page. When my letters come up to be printed – they tell you they’re 2 pages!
3) Import 15 custom letters called for in the “Activity Plans”. Letters included:

  • Seller Preparation – covers 16 points for the seller(s) to prepare for settlement

  • Buyer Preparation – covers 11 points for the buyer(s) to prepare for settlement

Data Merge Forms:

I have created custom forms that utilize the data-merge capabilities of Online Agent. I'll import whatever you need that I already have, or customize(for a fee) the forms for you. Every time you do an AOS, your office, title companies, mortgage companies, and other agents, require information from you. By entering that information one time, in the listing module, and the contact module, you can then print forms that have all that information on them. This eliminates the need to fill out many different forms with the same information, or answer the questions on the phone. Just fax the form and be done with it. Some examples include:

  • Cap Sheet – has everything from the parcel number to the commission splits. The “Parties” involved come from a “Client Closing Report”. It will have all the parties involved with their name, phone, and fax numbers.

  • Follow-up Data Sheet – Print this and take it to settlement. It puts the existing seller’s or buyer’s names and addresses in automatically, and they fill in their permanent new address and phone number, or temporary new address and phone number, with a date of anticipated permanent move, and their birth dates. It’s a professional looking way to get the info you need, and a good way not to forget to get it.
  • New Listing Form – Property, price, township, sellers, list date, expiration date, showing instructions, etc.

Property Brochures:

  • I’ve created a couple that everyone likes more than the ones that come with the program. I’ll import them for you. I can also create a custom one if you like(for a fee).

Activity launches for all the important phases of your business. Pick and choose the activities that apply to your way of doing business:

System Maintenance:

How many times have you been informed that there are tasks that should you be performing on a regular basis, in order to keep your computer running smoothly, and more quickly. Index, pack, check for corrupt files, backing up, Scan Disk, Disk Defragmenter, Anti-Virus Data Updates. I will create “Activities” in Online Agent, that will insure you do what’s necessary in there. I will also set up your “Task Scheduler” in Windows, to run periodic maintenance when it should be done. You won’t have to know much. It will just come up, and tell you what buttons to press!

Accusync:

  • Set up Accusync to work with all your desk tops and lap tops.
MS Publisher & Word

I’ve created colorful special forms in MS Publisher and MS Word that I will import for you. Some examples are:

  • “Now that I bought a house…What money do I need when?” - This has been very well received by many top producing agents. It is a 2 page explanation detailing all the costs involved, such as; Initial Good Faith Deposit, Home Inspection Fee, Mortgage Application Fee, etc. Each explanation is numbered, and corresponds to a third page, the “Schedule of Funds Required”, that shows when that amount is due.
  • Where Do Buyers Come From – a stork and a pie chart, showing 81% of the buyers coming from agents.
  • Pricing Your Home – Why a home should be priced right from the start!
  • Pricing your Home – Another one with a different twist.

E-mail Management

You will receive full color “E-mail Cheat Sheets” I designed for quick reference after I am gone. I will do all the following for you:

  • Register a domain name of your choice, such as www.yourname.com
  • Set up a forwarding address so that your “Permanent” e-mail address will be, for example, "yourfirstname@yourfullname.com"
  • Create, in your e-mail software, “folders” to store your e-mails, such as “Active Listings”, “Pending Sales”, “Newsletters”, “Articles”, “Prospects”, “Directions”, “Tech Support Responses”, “Jokes”, “Hardware Information”, “Software Information”, “My web site”, “To-Do”, “Virus Info”, “Windows Information”, etc.
  • Set up “Filters” and show you how to use them. You can set up a filter to automatically delete junk e-mails, or file certain e-mails directly into a folder, instead of everything coming into your inbox.
  • If you use Outlook, or Outlook Express, I will set up a “Virtual Business Card” (vCard).
  • Install several “Signature Files”. One will have your name; address, phone and fax; e-mail and web site (both normal and HTML(for AOL); your specialties or niches; and a Privacy Notice. It will be colored, bold, and italicized. Another will be the same thing, but in plain text for AOL. Others might be a short one for personal e-mails, or for listservs.
  • We will also discuss doing “Searches” in your folders, to retrieve information in your filed e-mails.
  • I will train you to “Attach” files to your e-mail, and how to open attachments (with security in mind).
  • We will review the “Address Book” and how to create “Groups”.
  • We will talk about when to use “BCC” or Blind Carbon Copy, so that others cannot see the group of e-mail addresses you are sending to.
  • We will go through the “Options” in your e-mail software, and customize them to your liking.
Internet Explorer

  • I will create a “Link” toolbar so you can quickly get to your most often visited sites, with one click. No need to go into “Favorites”.
  • I will change IE so that you determine the first site you come to, whenever you get onto the Internet.
  • We will go through the Internet Explorer “Options”, and customize them to your liking.
  • I will set up the temporary Internet files to delete, and schedule an instructional activity in Online Agent, so that you don’t forget when, or how, to do it.
Virus Software

If you do not already have anti-virus software, I will buy it for you and install it. I will also insure that you know how to keep the virus files up to date, and put a reminder activity in Online Agent, with instructions, so you can’t forget how or when to do it.

Backing Up

If you do not already have a media(zip drive, CD re-writeable, or other means), I will purchase one and set it up for you. We will then set up your data files so that you can quickly and easily back up all your important files. I will also put a reminder activity in Online Agent, with instructions, so you can’t forget how or when to do it.
